Campus and dorm access realities

Most campuses restrict where large trucks can go, and dorm or apartment complex parking lots are frequently unsuitable for a multi-car carrier to enter. Expect the driver to arrange a nearby meeting point, such as a campus visitor lot, a nearby retail area, or another accessible location close to the school rather than the specific residence hall door.

Timing around the semester calendar

Move-in and move-out weeks are predictably busy for student shipping, since large numbers of families are coordinating around the same narrow calendar dates. Booking as early as your schedule allows, rather than waiting until the week of move-in, gives more flexibility in matching your vehicle to an available carrier.

Parent or student authorization for pickup and delivery

Decide ahead of time who will be present for pickup and delivery — a parent, the student, or another authorized adult — and make sure that person has the information needed to inspect the vehicle and sign the bill of lading. If the student is the one accepting delivery at school, walk them through what to check before signing.

If a vehicle needs to come home over a break and go back for the next term, that is effectively two separate shipments on two separate schedules, each needing its own booking. Plan winter or summer break shipments with the same lead time as an initial move-in shipment, since carrier demand during common academic transition periods can be higher.

Remove personal belongings, textbooks, electronics and anything else stored inside the vehicle before it ships — carriers transport the vehicle itself, not its contents, and loose items are not covered as cargo. A largely empty vehicle is also easier for the driver to inspect accurately at pickup.

A home address is usually more accessible for a large carrier than a campus location, so if the student's home is on the way, that end of the trip is often the more straightforward one to plan.
